This Privacy and Cookie Statement was prepared on 2 February 2024 in the context of the General Data Protection Regulation (AVG), which comes into force on 25-5-2018.

 

Green Roots Consultancy & Coaching (hereinafter referred to as Green Roots) is responsible for processing personal data as reflected in this privacy statement.

1. Principles

Green Roots takes your privacy very seriously. We adhere to the following principles:

- We will only ask you for personal data if it is necessary for the

performance of our services and/or if required by law.

- We only store data for as long as it is necessary.

- We provide full transparency on how we collect data, how we use it and (if applicable) share it with other parties.

 

2. Personal data we process

Green Roots processes your personal data if you use our services and/or because you provide these data to us yourself. Below is an overview of the personal data we process:

- Your first and last name

- Address details

- Telephone number

- E-mail address

- Other personal data that are actively provided in, for example, correspondence

For intakes, trainings, workshops, coaching of teams, individual coaching processes, the following data are also processed:

- The organisation you work for and any position.

- Other personal data that you actively provide by e-mail or in telephone correspondence, if these are important for providing the service to you.

- Results of questions from intake forms, questionnaires or preparation or

homework assignments.

- Reporting of coaching processes, team sessions, workshops or training sessions.

 

3. Purpose and legal basis for processing personal data

Green Roots processes your personal data for the following purposes:

- Being able to prepare coaching and training (basis: consent).

- To send you training materials or other relevant information afterwards (basis: consent).

- To contact you if necessary in order to provide our services (basis: consent).

- To inform you about new products and/or changes to our services and

products (basis: consent).

- For tax return purposes (basis: legal obligation).

 

4. Special and/or sensitive personal data processed by Green Roots

Green Roots sometimes uses an intake form and/or an intake interview to get a better idea of the background of a client/participant and to be able to tailor the session to the client's needs.

In addition, Green Roots takes notes after an activity in order to prepare any subsequent sessions. In the intake form (by phone or in writing) or the report of an activity, special data are only processed if you actively provide them and it is important to process them in order to provide the service to you. This concerns, for example, data about your current situation (e.g. your employer), learning objectives and the issue for which you are coming into coaching or wish to follow a training/workshop. Special personal data will only be stored in coaching processes if this is relevant to your assistance or learning question. This may include information about your health, family composition, race, sexual orientation and psychological complaints.

 

5. How long we keep personal data

Green Roots will not keep your personal data longer than is strictly necessary to achieve the purposes for which your data are collected. We use the following retention periods for the following (categories of) personal data: If you are or have been a customer, we keep invoices and customer data for 7 years for the tax authorities. Other data will be kept as long as you are on the mailing list. Once you unsubscribe from the e-mail list, your data will be deleted within 4 weeks.

 

6. Sharing personal data with third parties

Green Roots does not sell your information to third parties and will only provide it if necessary to carry out our agreement with you or to comply with a legal obligation. With companies that process your data on our behalf (e.g. the accountant who processes invoice data), we conclude a processor agreement to ensure the same level of security and confidentiality of your data. If necessary for the implementation of a training course, workshop or team session, Green Roots shares intake forms and/or results of other tests with trainers who are involved in the implementation of the training course, workshop or team session you are participating in. Green Roots concludes a processing agreement with these trainers so that they will destroy these data immediately after the training and treat these data with the same level of security and confidentiality. Green Roots will remain responsible for such processing.

 

7. Cookies, or similar techniques, used

Green Roots only uses technical and functional cookies. And analytical cookies that do not infringe on your privacy. A cookie is a small text file that is stored on your computer, tablet or smartphone the first time you visit this website. The cookies we use are necessary for the technical functioning of the website and your ease of use. They ensure that the website works properly and, for example, remember your preferences. They also allow us to optimise the website. You can opt out of cookies by setting your internet browser to stop storing cookies. In addition, you can also delete any information previously stored via your browser's settings.

 

8. Protection of your personal data

Green Roots takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised modification. The Green Roots website uses a reliable SSL certificate. If you feel that your data is nevertheless not properly secured or there are indications of abuse, please contact us or mail to mail address.

 

9. Amendments to the privacy statement

There may sometimes be changes in the personal data we process or in the applicable

regulations. In such cases, Green Roots may amend the content of this privacy statement without notifying you in advance. Implementing the change on the website is sufficient for this purpose. This privacy statement was last amended in February 2024.
